Clavendro Digital · Inquiry handling

How your inquiry travels after you send it

You press submit. Something should happen next, and you should know what it is before you commit the time to writing. This page walks the journey of an inquiry submitted through the Clavendro Digital contact form, from the confirmation on your screen to the reply landing in your inbox.

Submission to reply

Four steps between pressing submit and getting an answer

Nothing about it is mysterious once you see the order. The four steps below are the whole path, and each one leaves you a visible signal that it happened.

If you don't see a confirmation on screen, the submission did not go through. The most common reason is a validation error on a field above the submit button.

01

The confirmation on your screen

Submitting the form replaces the form area with a confirmation message. That message is generated immediately and does not depend on anyone reading your inquiry first. It confirms the submission was received, repeats the phone number, and sets the reply expectation. No signal means no send.

02

Your inquiry lands in a reviewed inbox

Submissions arrive in an inbox that a person reads, not a queue that only gets checked when someone remembers. Each inquiry is read in full rather than skimmed for keywords. This is where subject lines earn their keep: a subject that names the topic gets sorted correctly on the first pass, while "Question" or "Hello" forces a second read to figure out where the request belongs.

03

Routing by subject

Once read, the inquiry is routed to whoever can actually answer it. Routing is based on the subject line and the content of the message, which is why a specific subject helps you as much as it helps us. If your message touches two unrelated topics, expect the reply to address the primary one and ask about the rest rather than scattering partial answers across two threads.

04

The reply

Replies go to the email address you submitted. That's why a working address is a required field and why the email input validates format before submission. We reply in the same thread, so adding follow-up details later means replying to that email rather than opening a fresh inquiry. Keeping one thread keeps the context in one place for both sides.

Response windows

Response-time expectations, stated plainly

Most inquiries get a first human reply within one business day. Requests that require checking something with another person or confirming availability can take up to two. Inquiries that arrive Friday afternoon will typically be answered Monday. Nothing here promises a reply within minutes; the phone number exists precisely for cases where a same-day answer matters, so call if that describes yours.

Typical first reply
1 business day

Most messages are read and answered inside the next working day.

Requests that need a check
Up to 2 days

If we have to confirm something with another person first, expect the longer window.

Late-week inquiries
Monday

Messages that land Friday afternoon are typically answered the following Monday.

If you need an answer today, the phone line is the better route: +1 713-524-8037. Hours are Monday to Friday, 9:00 AM – 6:00 PM.

What does not happen

What we don't do with a submitted inquiry

You should be able to see the whole handling path. Three things in it are worth writing out plainly.

Read the privacy policy
01

No marketing list

We don't add your email to a marketing list. Submitting an inquiry form is a request for an answer, not a subscription, and it is not treated as consent for promotional messages.

02

No sale or rental of details

We don't sell or rent submitted contact details. The information you send is used to answer your request and for the record-keeping described on the Privacy & Your Information page.

03

Removal on request

If you want those details removed after the conversation ends, you can ask, and the process for that is written out in the same place. You do not have to justify the request.

The second message

Following up without starting over

If you remember a detail after submitting, reply to the confirmation email or reference your original subject line when you call. Restarting with a brand-new inquiry form submission creates a duplicate that has to be reconciled manually, which adds a delay for you and noise for whoever is reading. One thread, added details, is the faster pattern. If you genuinely need to correct a wrong email address, call and say so.

Wrong email address on file? Call +1 713-524-8037 and tell us. It is corrected in the same thread rather than reopened as a new case.

01

Reply to the confirmation email

Keeps the extra detail attached to the original request.

02

Name the subject when you call

The original subject line is how the call is matched to the right thread.

03

Avoid a fresh submission for a small addition

A duplicate has to be reconciled by hand. That is time the reply could be using.

Choosing a channel

When an inquiry isn't the right channel

Some messages are better as a phone call: anything urgent, anything that requires back-and-forth clarification in real time, and anything where you need to know today.

If your inquiry arrives and the answer is "this isn't something we handle," you'll get a short reply saying so rather than being left to guess. A clear no is more useful than a slow maybe, and it frees you to look elsewhere sooner.

Questions on handling

Frequently asked questions

A few things you should not have to guess at. If something is not covered here, the contact form below is the place to ask.

Is my inquiry read by a person or a bot? Toggle

Read by a person. Format validation happens in the browser, but the routing and the reply are human steps.

What happens if I submit twice by accident? Toggle

Two inquiries get read. Mention the duplicate in a quick reply to the confirmation email and the threads get merged.

Can I request a phone reply instead of email? Toggle

Yes, if you include a phone number and a reasonable time to call. Leave the phone field blank and the reply goes to email.

Does the form confirm that it was received? Toggle

Yes. The form area is replaced by a confirmation message the moment the submission is accepted. If you don't see it, the submission did not register, and the usual cause is a validation error on a field above the submit button.

What if my request is not something you handle? Toggle

You'll get a short reply saying so, usually in the same response window as any other request. A clear no lets you look elsewhere sooner than a slow maybe would.

Send a written inquiry

Start an inquiry through the contact form

Use this short form for questions about how your request is handled, about something you already submitted, or about how to get an answer faster. The fields below are the same ones the confirmation step refers to; add a phone number only if you would like a call back.

A subject that names the topic gets routed on the first read.

Submitting replaces this form with a confirmation message. Details are handled as described on the Privacy & Your Information page.
